Privacy Policy
Effective date: September 21, 2026
Last updated: September 21, 2026
Overview
This Privacy Policy explains how WinMyBiz Auto LLC ("WinMyBiz Auto," "we," "us," or "our") collects, uses, discloses, and protects information when you use the WinMyBiz Auto early-access website, request buyer early access, express seller interest, or contact us (the "Site").
WinMyBiz Auto is currently in development. Submitting a early-access form sends information to WinMyBiz Auto for review. It does not send buyer information to a dealer or broker, create a purchase or financing application, enroll a seller in a paid program, or guarantee participation in a pilot.
This Policy covers the Site and early-access communications. It does not govern a dealer, broker, lender, vehicle manufacturer, or other third party. When the marketplace launches, we will update this Policy and provide additional notices before new data uses begin.
Information We Collect
Information You Provide
- Buyer contact and request information, including name, email address, ZIP code, desired new-vehicle make and model, and expected purchase timeline.
- Optional buyer research information, including possible payment method, general vehicle budget, referral source, travel or delivery flexibility, research stage, age range, and household-income range. These range responses are for product research and are not a credit application or a basis for pilot selection.
- Seller information, including business and contact name, title, business email, business type, city, state, and optional business phone, website, brands, location count, service area, pilot interest, and message.
- Communication choices, including whether you asked to receive launch updates or optional research invitations.
- Information in messages you send to us and records of our response.
Information Collected Automatically
The Site is hosted with OpenAI Sites and its Cloudflare infrastructure. Hosting and security services process technical information needed to operate and protect the Site, such as IP address, browser and device information, request times and requested pages. Our form protection uses hashed IP-address and email-based rate-limit keys. We also keep submission references, hashed email and request values, save status, timestamps, communication choices and consent-text versions, and limited diagnostic records. Hashing does not make these records anonymous.
We use Plausible Analytics to understand page visits, engagement, referral sources, recognized campaign labels and general actions such as starting or successfully submitting a form. We do not send form answers, names, email addresses, messages or submission references to Plausible. Page URLs exclude query strings and fragments, and referral URLs are reduced to their origin. Advertising pixels and session-replay tools are not installed.
Where Submissions Are Stored
Buyer and seller form answers are stored in separate Microsoft Lists within the Microsoft 365 / SharePoint account administered by Crooks Consulting for WinMyBiz Auto. Microsoft provides this storage and our support email service. Access is restricted to authorized administration and the form integration; early-access submissions are not a public directory and are not automatically sent to dealers or brokers.
The hosting database separately retains the operational records described above to prevent duplicate saves, record communication choices and investigate errors. Failure records exclude submitted names, email addresses and message text. Correspondence about your request may also be retained in our Microsoft 365 email account.
How We Use Information
- Review and respond to buyer and seller interest.
- Evaluate where and how an early pilot may be useful.
- Administer the Site, prevent duplicate or abusive submissions, diagnose errors, and protect the security of the Site and our records.
- Send launch or early-access updates only when the person separately requests them, and honor unsubscribe requests.
- Invite a person to optional product research only when the person separately requests that contact.
- Analyze broad, aggregated trends and improve the Site and product design.
- Comply with law, enforce our terms, establish or defend legal claims, and protect rights, safety, and property.
We do not use optional age-range or household-income-range responses to determine credit eligibility, set vehicle or financing terms, rank offers, decide whether to share a buyer’s identity, or select a person for the pilot.
How We Disclose Information
We may disclose information in the following limited circumstances:
- Service providers. Vendors that host the Site, store submissions, deliver email, provide security, support operations, or perform privacy-focused analytics, under contracts or instructions appropriate to their role.
- Professional advisers. Lawyers, accountants, insurers, and consultants who need the information to provide services to us.
- Legal and safety reasons. Government authorities or other parties when reasonably necessary to comply with law, respond to lawful process, protect rights or safety, investigate misuse, or enforce agreements.
- Business transaction. A potential or completed financing, merger, acquisition, reorganization, or sale of assets, subject to appropriate confidentiality and legal requirements.
- At your direction. A recipient you specifically ask us to contact or provide information to.
The early-access buyer form does not send buyer information to a dealer or broker. When marketplace functionality launches, WinMyBiz Auto intends to require a buyer-controlled identity-release step before sending buyer contact information to a participating seller. The release notice should identify the recipient and the information being released. A seller’s own privacy practices will apply after the seller receives the information.
Sale Sharing and Targeted Advertising
We do not sell personal information for money. We do not use personal information for cross-context behavioral advertising or targeted advertising on the early-access Site. We do not disclose buyer information to dealers or brokers through the early-access form.
Some privacy laws define “sale” or “sharing” more broadly than an exchange for money. If our practices change or applicable law treats a future disclosure as a sale, sharing, or targeted advertising, we will update this Policy and provide the required notice and opt-out method before that practice begins.
Cookies Browser Storage and Analytics
The Site uses browser session storage for a limited set of recognized campaign labels. Form entries are held in the page while you complete and submit the form. The hosted form sends your answers to the server for validation and storage in Microsoft Lists. Hosting or private-preview sign-in services may use cookies or other storage needed for their services; this is not a claim that the entire Site is cookie-free.
Plausible uses no analytics cookies. It processes technical request data to derive browser, device and approximate location statistics and a daily visitor identifier; Plausible states that raw IP addresses and full user-agent strings are not stored. See Plausible’s data policy. Facebook and Instagram links take you to those services; their own terms and privacy practices apply when you visit them. These links are not embedded social-media tracking pixels.
Communications and Choices
We may send an administrative response about a request you submitted. We send marketing or launch updates only when you separately request them. You may unsubscribe using the link in a marketing email or by contacting support@winmybizauto.com. You may withdraw from optional research contact through the same address. We may keep a minimal suppression record so we can honor a do-not-contact request.
Retention
We retain personal information only for as long as reasonably necessary for the purposes described in this Policy, including to review early-access interest, maintain consent and suppression records, protect the Site, comply with law, and resolve disputes.
Security
We use administrative, technical, and physical safeguards designed to protect personal information in light of its nature and our operations. No method of storage or transmission is completely secure, and we cannot guarantee absolute security. Please do not send Social Security numbers, driver’s-license numbers, bank or payment-card information, credit applications, or other highly sensitive information through the early-access forms or ordinary email.
Your Privacy Rights
Depending on where you live and subject to legal exceptions, you may have rights to request access to, correction of, deletion of, or a copy of personal information; to learn about certain disclosures; and to opt out of certain sales, sharing, targeted advertising, or profiling. You may also have the right not to receive discriminatory treatment for exercising a privacy right.
To make a request, email support@winmybizauto.com with the subject “Privacy Request”. Describe the right you want to exercise and the email address used with WinMyBiz Auto. We may take proportionate steps to verify the request. An authorized agent may submit a request where applicable law permits. We will respond within the period required by applicable law and explain any appeal process that applies.
For a correction, tell us which information needs to change. For deletion, identify the buyer or seller submission you want removed. Use the email address associated with the submission where possible, and include a receipt reference if you have one. Do not send identity documents or other sensitive information unless we arrange an appropriate verification method. Requests are reviewed manually; sending another form does not automatically replace or delete an earlier submission. We will review relevant Lists, correspondence and supporting records, subject to applicable retention exceptions.
California and Other State Disclosures
Browser Do Not Track signals do not have a uniform industry standard. The early-access Site does not use cross-site behavioral advertising. Where applicable law requires us to recognize a legally valid universal opt-out signal, such as Global Privacy Control, we will do so for the processing covered by that signal.
Children
The Site is intended for adults and is not directed to children under 13. We do not knowingly collect personal information from children under 13. Early-access and seller-interest forms are limited to people who are at least 18 years old. If you believe a child provided personal information, contact us so we can review and delete it as appropriate.
United States Service
The Site is intended for users in the United States. If you access it from another country, your information may be processed in the United States and in locations used by our service providers. Do not submit personal information if the Site is not offered in your location.
Changes to This Policy
We may update this Policy to reflect changes in the Site, our practices, or law. We will post the updated version with a new “Last updated” date. If a change materially affects how we use information already collected, we will provide additional notice or obtain consent when required.
